Technical Papers

Virtual presentation instructions are now available!

Response to Texas power outage: Authors who have been affected by the Texas power outage will be given an extension to the technical paper submission deadline until Wednesday, February 24. Please contact the Conference Editorial Board (ceb@2021.worldhaptics.org) to request this extension and obtain further instructions.

Technical papers should be prepared according to the formatting instructions available here. The paper should not exceed 6 pages in length including references. In addition, please limit your abstract to 200 words or less. For your convenience, the templates for technical papers can be downloaded in Word or Latex format. Documents should be formatted in US Letter size.

WHC2021 follows a single-blind review process. Therefore, authors should include their names and affiliations on the paper. All submitted technical papers will be peer reviewed. To ensure a good match between the papers and the reviewers, each submission will be considered by one of three subcommittees: Haptic Science, Haptic Technology, and Haptic Applications. Authors can indicate their preference of review subcommittee on the paper submission website by selecting keywords.

Authors may upload a video associated with their technical paper. Submission of a video is optional. The uploaded video will be reviewed along with the paper. Videos will be submitted for publication to IEEE Xplore, as well as used for promotional purposes at the conference. When submitting a video, please follow these guidelines: The maximum file size is 20 MB, and the maximum duration in seconds is 180 sec. Single file with the extension mpeg, mpg, avi, or mp4. If these guidelines cannot be fulfilled, please contact the editorial board.

Submit your technical paper via https://ras.papercept.net.

User Studies

We are aware that conducting studies with human participants has been difficult or impossible over the past year for many members of the haptics research community. We therefore want to emphasize that user studies are not the only possible means of assessing a research contribution and that they are not strictly required for a technical paper to be acceptable for publication. We ask authors to consider the many ways in which the validity of their research contributions can be assessed and the claims made in their paper can be supported with evidence. For useful suggestions, we recommend reading the “User Studies are Not Required” section of the author guide prepared by the organizers of the UIST’21 conference

Final Submission Instruction for Accepted Technical Papers

All the reviewers’ comments and the AE’s summary are available at http://ras.papercept.net. Your final version should reflect this advice from the Editorial Board. The final version of your paper must be essentially the same as the draft we accepted. You may not add or remove material except as requested by the reviewers. All papers are limited to six (6) pages. Please note that your paper can still be rejected if some critical issues are found in the final version.

The final version of your manuscript must be submitted electronically through PaperPlaza before *** May 21, 2021 (extended) ***

The final submission form will be the same as the initial submission form, and the formatting instructions are available at http://ras.papercept.net/conferences/support/support.php

Special notes:
Please make sure that you use the correct template for your paper. There will be a format check on all final camera-ready submissions.
It is also very important to update the abstract and make any final changes to the title, author list/affiliation on the submission website before uploading the final version. If your paper has multiple authors, please check to make sure you have added all authors. This is the only way to ensure that the conference’s final program will have the updated information.
At least one author of the paper must register for the conference. Otherwise, the paper will be pulled from the final program.

Submission Instruction for Papers Accepted to the Conference but Rejected as IEEE ToH Short Paper

In order to make your paper appear in this year’s WHC2021 proceeding, the final version of your manuscript must be submitted electronically through PaperPlaza following the two-step submission procedure as described below:

Initial and final submission procedure:

Before May 21, the submitting author must submit a “first submission” for their ToH Short Paper to the “IEEE Trans. Haptics Contributed Paper” track on PaperPlaza. The submitting author will be asked to enter the following information:
▪ The paper title, list of authors, PaperPlaza PIN numbers of all authors, and keywords.
▪ An abbreviated abstract for use in the conference program (limited to 1500 characters).
▪ Manuscript and optional video.

Once your first submission is successfully made, you will get notified of the final submission information. Before May 21 (extended), the submitting author must submit a “final submission” for their ToH Short Paper to the “IEEE Trans. Haptics Contributed Paper” track on PaperPlaza

The final submission template for the accepted papers is available at http://ras.papercept.net/conferences/support/support.php

Special notes:

Please make sure that you use the correct template for your paper. There will be a format check on all final camera-ready submissions.
▪ It is very important to update the abstract and make any final changes to the title and author list/affiliation on the submission website before uploading the final version. If your paper has multiple authors, please make sure you have added all authors. This is the only way to ensure the conference’s final program to have the updated information.
▪ At least one author of the paper must register for the conference as Paper Author. Otherwise, the paper will be pulled from the final program.

Virtual Presentation Instructions

Upload Deadline: June 25, 2021

Your Technical Paper will be presented during an Oral Session in which your pre-recorded video presentation will be broadcast and you will answer questions live by videoconference. You will also set your Office Hours, during which you’ll be able to discuss your work with attendees in your personal videoconferencing room. To set your Office Hours in the virtual conference platform (X-CD), please consult these instructions.

To get ready for your virtual presentation, we ask that you prepare the following materials and upload them to X-CD:

A pre-recorded video presentation (MP4): All Technical Paper presentations will be pre-recorded, broadcast during a live Oral Session, and available on-demand for attendees. Your video presentation must be prepared following these guidelines, and therefore include both a voice over and captions. Please present your work as you would at an in-person conference with a full-screen screencast of your slides and a picture-in-picture video of yourself. Your video presentation must not exceed 3 minutes for regular papers, and 6 minutes for award candidates (which have been notified by email). To upload your pre-recorded video presentation to X-CD, use the “Record/Upload Presentation” feature as described in the upload instructions.

Supporting content (PDF): Please prepare supporting content to assist discussions during your Office Hours. This could, for example, be a set of slides or a video that you will screen-share during your videoconference to explain your work. This content will also be made available on-demand. To upload your supporting content on X-CD, use the “Additional Presentation Files” feature as described in the upload instructions.

▪ Technical Paper manuscript (PDF): Please download a copy of your manuscript from PaperPlaza and upload it to X-CD. To upload your manuscript, use the “Manuscript File” feature as described in the upload instructions.

NOTE: If your submitted manuscript on PaperPlaza included a video file, a YouTube link will be added to your presentation card on X-CD by the conference organizers.

Please see our resources page for the conference logo and zoom backgrounds that can be used for your materials and your presentations.

Please have all required materials, including your pre-recorded video presentation, uploaded to the virtual conference platform by June 25, 2021.

Note that only one author can act as presenter, upload content to the virtual platform and participate in the different conference activities (live Q&A, Office Hours). The presenter must be a registered attendee of the conference. The presenter will be assumed to be the corresponding author for the submission, as indicated on PaperPlaza. If you would like a different author to be the presenter, please fill out this form as soon as possible.

For any questions, please contact either the Program Chair at program@2021.worldhaptics.org or the Virtual Arrangement Chairs at virtual@2021.worldhaptics.org.
